The Challenge

The AB Enzymes GmbH (a subsidiary of Associated British Foods) grew faster than its structures. The familiar ways of working and tools were no longer suitable for this thriving company, hindering it from fully leveraging its potential: Too many tools, too little harmonization between departments and global locations, and no shared mindset.

The Vision

To have consistent ways and tools of global communication and collaboration. Ensuring a common standard for the digital future and growth. Both system- and mindset-wise.

The Method

Challenge everything! Why is a certain process the way it is? Why don´t you share this information and why don´t leaders walk the talk? Why are there so many tools if we could focus on a few core products? Which rules for communication and collaboration do we actually need, to be able to grow unlimited and to onboard people way faster into our teams. These questions were addressed by an evolving team of “guides” who collaboratively defined fundamental principles and autonomously implemented them within their respective departments.

The Result

  • Defined global standards and behaviors that manifest in a standardized way of working
  • A set of behaviors, that focusses on mutuality, transparency, and openness for permanent improvement
  • A standard digital workplace continuously refined through user feedback
  • Automation of numerous processes initiated by the “guides”
  • A new intranet as basis for knowledge management, information sharing and starting automated digital services
  • A highly motivated team of “guides”, equipped to support colleagues in embracing new ways of working and digital tools

The Challenge

With the introduction of Office 365, the question arose as to how communication between employees and departments could be promoted, document management harmonised and standardised, task management structured transparently and comprehensibly and knowledge management designed in a participatory manner using new tools.

The Vision

All employees have a common mindset, which is fostered by the fact that our internal communication is low-threshold and solution-oriented. By using technological possibilities, the organisation becomes more efficient by making information quick and easy to find, reducing processing times and automating processes.

With the involvement of key users from the departments, we enable knowledge transfer among ourselves and share knowledge where it makes sense. We network our knowledge across departments and thus minimise frictional losses. Managers promote the new ways of working and the use of the new tools by setting a good example.

The Method

In various workshops on the core topics of communication, document and task management, automation and knowledge management, we jointly evaluated existing problems and hurdles, but also wishes for a future digital workplace and interactive knowledge management. For this purpose, topics were collected and prioritised, for example, in Forms surveys and Conceptboard.

In addition, a test environment was set up in which the project members could try out their ideas in a prototypical environment and derive open questions. The technical connections between team/project workplaces and the knowledge management platform were visualised in a holistic diagram.

A change concept was created so that the change could be communicated to the target group. For this purpose, a mission statement was jointly formulated, a project name was defined for all sub-areas, knowledge management and the key users, and a logo was designed for the project and knowledge management. Additional media such as postcards, a wall graphic or video interviews were designed to involve non-project participants. This project-related concept was later transferred into an overarching change project that addressed all overarching strategic projects and programmes.

The Result

The result of the project, which lasted more than a year, was an information and knowledge networking platform that enables all employees to access information and knowledge easily and quickly, while at the same time enabling cross-departmental participation. Standardised workplaces based on teams are provided for departments and their teams as well as for working groups and projects.
These workplaces contain a set of tools and standards for communication and task and document management, thus ensuring a uniform way of working. Processes that previously ran on Word/paper documents are digitalised and networked, minimising process runtimes and creating transparency. Within the framework of the defined standards, individual design options are available so that individual/changing needs can be implemented at any time.

Based on these analyses, a change strategy was initialised. This/It was based on a communication matrix, which in turn realised department-specific processes and requirements.

The Result

With “ZuZu”, we have created a digital work platform that provides all employees of Rügenwalder Mühle with both general and specific information for their respective departments in a clear manner via the web or mobile app.

This gives employees the opportunity to communicate directly and to filter, edit or search for the information, appointments or tasks that are important to them.

The Challenge

The challenge was to renew the European R&D Playbook and adapt it in such a way that it can be used efficiently in all R&D departments internationally. For this purpose, international content had to be harmonised with regionally specific content. The contents of the playbook are to be applied as an essential standard for certain processes.

A particular challenge was that not all regions used a playbook until then, so this represented a new way of working for these areas.

The Vision

The project was driven by the vision of working in an internationally uniform way in R&D teams, as far as possible. This should make everyone’s work easier and in turn encourage innovation.

The Method

To achieve the goal, content was collected and harmonised, the design and visualisations of the existing European playbook were completely revised, automation and interaction potentials were analysed, user stories were collected and existing processes were considered.

The playbook for the international application was completely redesigned, intensively tested, then adapted and finally made accessible to all.

 

In order to achieve a high level of acceptance of the playbook, emphasis was placed on comprehensive communication and training measures for the users.

The Result

The playbook now represents a “one stop shop” for international R&D processes at the Kraft Heinz Company. As a result, user-friendliness has also been greatly enhanced. An appealing design and intuitive user guidance were important to help users find what they need in their work process as quickly as possible.

The Method

Analysis of the existing processes as well as the communication of project management, construction planning and subcontractors in order to create added value for all parties involved.

The Result

With the then newly released MS Teams and various SharePoint extensions, a Teams template was created that enabled GEWOSIE construction management to centrally manage and control the entire construction process.

Executing construction companies were integrated as partners and, most recently, construction inspections were even carried out via video call. The need to carry analogue plans could also be eliminated and the correction of plans on the construction site could be managed on a tablet in order to establish synchronous knowledge at all times.
