Recent studies provide solid insights:

Stable trend: According to the Ifo Institute, 24.5% of all employees in Germany worked at least partially from home in February 2025—a stable figure compared to 23.4% in August 2024. This means that working from home has become firmly established.(ifo Institut, The Munich Eye)

Industry differentiation: Employees in the service sector are particularly likely to work from home (34.3%) – less so in areas such as manufacturing (16.9%), retail (12.5%), and construction (4.6%). (ifo Institut, The Munich Eye)

Lack of enforcement of formal requirements: A survey conducted by the Indeed platform also showed that over 25% of employees work from home more often than officially permitted—often through informal agreements with their supervisors. (Newsworm)

Flexibility creates balance: Parents can take their children to daycare without stress, appointments are easier to schedule, and working hours can be adapted to suit individual biorhythms. A happy team means good results. 💡

A common misconception: trust-based working hours do not mean no time recording. In fact, since a ruling by the Federal Labor Court (BAG) in September 2022, employers in Germany must record their employees’ working hours.(reworked.co)

Working from home isn’t dead, but a rigid “everyone comes to the office on Mondays” approach is no longer the norm. Hybrid working is becoming the standard, offering real flexibility and a human touch.
👉 Forbes – 8 workplace trends 2025, IMD – Future of Work

2. Upskilling is the new career supplement

If you stand still, you rust – and today, rust is online. Continuous learning remains the number one trend, especially in areas such as AI, digital working, and soft skills.
👉 Forbes

3. Artificial intelligence is not a hobby – it’s your new colleague

Agentic AI (yes, you read that right) will become a project assistant, idea generator, or memory aid in 2025 – and not just as a gimmick. We work where it suits us best – sometimes from home, sometimes in the office, sometimes in our favorite café. The main thing is that the environment inspires us and clears our minds. Continuing education is just as important to us: Whether it’s tech webinars, coaching, or spontaneous peer learning sessions, we see learning as an integral part of our job, not a tedious additional task.

Digital assistants and smart tools are not just nice-to-haves for us, but real teammates. They help us keep the organization lean, capture ideas, and create space for what matters most: good collaboration and creative solutions.

And because we firmly believe that work without empathy doesn’t work, we often start meetings with a playful check-in. This is more than just a warm-up – it reminds us that we are human beings, not cogs in a project plan. This ensures that appreciation and team spirit always take priority.

For us, flexibility is not just a buzzword, but the basis of our work: we think in terms of projects and skills, not rigid job titles or fixed hours. Those who contribute their strengths are given room to help shape the company—and that is precisely where the magic of New Work at 3kubik lies.

This not only saves time in data provision, but also enables reports to be integrated directly into the familiar working environment.

Power BI dashboards can be embedded in SharePoint websites, integrated as tabs in Teams, or displayed live in PowerPoint presentations. In addition to Microsoft sources, you can of course also integrate other data sources into Power BI to create real context.

The Power BI interface is user-friendly.

Even without in-depth technical knowledge, you can create meaningful analyses with a little practice. In many projects, we find that the moment when data is transformed into real visualizations is a real eye-opener.

The introduction of AI means new processes, new roles, new expectations—and above all, new emotions.

👉 Studies such as those conducted by Changefirst show that projects with professional change management generate an ROI of up to 650%—and even 200% for smaller projects.

Without change management, the result is often:

great AI that no one uses,
an overwhelmed team that sees AI as a threat,
or a project that fizzles out before it creates real value.

NHS Digital in the UK: Digital services were successfully rolled out because change agents were involved early on.

Change is not a mystery, but a craft. The following also (or especially) applies to AI:

Demonstrate urgency
Make it clear why AI is relevant now – not “because it’s hip,” but because competitive advantages are at stake.

Form coalitions
Get supporters from specialist departments, IT, and management on board. AI is not an IT solo endeavor.

Develop and communicate a vision
In the form of a change story: “What does AI mean for me?” – The heart, gut, and head must all be on board.

Remove obstacles
From missing data to skepticism within the team: Change means removing stumbling blocks.

Celebrate quick wins
Show small, visible successes (“AI saves us 2 hours per week”) before the big vision takes effect.

Anchor change
Create new routines so that AI doesn’t gather dust on the shelf after a few months.

And very importantly: Change is emotional.
Every change goes through a curve from shock to rejection to acceptance. This is exactly where it is decided whether AI is perceived as a threat or as support.

I don’t work with employees, but with colleagues. It’s not just a question of language, but of attitude. I want to work on an equal footing as often as possible. Nevertheless, there are moments when decisions are made differently than I would have done. When I think, “I could solve that faster/differently/better.” When my gut screams, “Intervene!”

That’s when leadership begins. Endure. Leave space. Allow growth. Only those who make their own decisions – and make their own mistakes – truly grow.

And sometimes that’s difficult. Especially when I realize: I would have done that completely differently. Then a comment slips out. Or I’m too quick with my assessment. It happens. But I learn, again and again.

For me, trust is an advance payment. I believe that people are here because they want to be and that they give their best. And that’s exactly what I don’t want to do: destroy that through control.

New Work thrives on self-organization. But not everything can be solved democratically. Some decisions have to be made. Some responsibilities cannot be shared.

Terminations, for example. Or decisions that are uncomfortable but necessary.

Then I am not a colleague. Then I am the one who bears the responsibility. And honestly, that often doesn’t feel good. I think I sometimes suffer more than the person who has been dismissed. Because I have a human being in front of me. And because I think: I don’t really want to deliver this news to this person. But it’s part of the job.

And yes, sometimes I feel the urge to scold them. That’s difficult for me. Because I actually assume that everyone can make their own decisions. And yet sometimes I feel: Now I have to say something. Even if it’s not my style. Even if it catapults me out of my role as a colleague.

But I don’t see that as a contradiction. We all have specific tasks here. Jessie does the accounting. Others write blog posts. I take care of the team structure, customer excellence, and market trends.

When you work remotely, you don’t just happen to notice conflicts. You have to look closely. You have to create spaces where people can show themselves.

Our check-ins with mood indicators are designed for just that. No small talk. No mandatory agenda. Just a brief moment to see: Who is where today? Who might need more space today?

We use cards with weather symbols, tornadoes, rumbling stomachs, sunshine. No explanation required. But with a clear signal: Attention, today might not be the right day for me to discuss business matters.

And sometimes interest is not enough. Sometimes moderation is needed. Coaching. Mediation. Not because someone has failed, but because growth begins exactly where it hurts.

Our workations also help: when we work in one place for five days in a row, closeness happens. It becomes clear what we miss when we are only remote, but also what we don’t miss. These days show that closeness is possible. And valuable.

Well-organized task management is crucial for efficient and productive work. That’s why I strongly recommend using a central tool that bundles tasks in a transparent and structured way. Digital solutions such as Microsoft Planner, Trello, Jira, or Asana offer many possibilities here—the key is to clarify in advance which functions are really needed and which systems need to be integrated.

KanBo has proven itself to be absolutely indispensable for us. Although Microsoft Planner is included in our license, we deliberately chose KanBo because it offers us decisive advantages. In addition to seamless integration with Microsoft, KanBo enables more detailed and flexible task management that is optimally suited to our requirements. Particularly impressive are features such as parent and child cards, mentions of people, individual notification settings, and the ability to map predecessors and successors in task processes, and much more. These features facilitate collaboration, make workflows more transparent, and help us to control processes efficiently.
In addition, we have stored various templates that optimize our processes and make recurring tasks more efficient. This allows us to maintain an overview at all times, work more productively, and map our workflows exactly as we need them.
Another advantage is the integration of external customers into our boards, which eliminates the need for long email chains. This keeps communication direct, efficient, and transparent. There are separate boards for customer projects so that external partners receive exactly the relevant information. At the same time, we have internal boards for areas such as marketing or acquisition to efficiently organize internal company processes.

KanBo also offers a high level of transparency, even in the event of sick leave or vacation. Thanks to centralized task management, every team member can view the current status at any time and seamlessly take over if a colleague is absent.

MyBoard is particularly helpful, as it filters all tasks that you are either directly assigned to or “following.” This allows you to see at a glance which tasks are pending without having to click through different boards. MyBoard can be structured individually, for example with columns for: New, Next, Today/This Week, Done, Regular, Etc. This allows everyone to keep track of their priorities and flexibly adjust tasks.

That’s why I strongly recommend using Outlook not only for meetings, but also for reserving specific time slots for important tasks.
In our team, this method is an integral part of our daily work routine – and it has proven to be extremely effective. We not only schedule client appointments and internal meetings, but also set aside specific times for preparation, research, or strategic projects. This allows us to maintain an overview, work in a more structured manner, and plan our tasks realistically. At the same time, it enables our colleagues to see when someone is available at any given time, which makes collaboration much easier.
And I’ll admit it here and now, I am the calendar stalker in our team – and I have no guilty conscience about it. After all, I’m not the witch with the crystal ball🔮 who keeps an eye on everything in the team for nothing. While others are still thinking about when they actually have vacation, I already have it on my radar. This regularly causes hearty laughter when I know sooner than the person themselves that they have time off.
But honestly, it’s not so bad when at least one person keeps track of everything. From experience, I can say that this has often been practical – either because appointments would otherwise have clashed or because no one knew what was planned and when. Of course, I’m not perfect and sometimes I overlook things, but when in doubt, I simply rely on my crystal ball – or Outlook 😉
This structured approach also helps us to recognize early on whether our workload is realistic or whether tasks need to be redistributed. Of course, there are always spontaneous issues, but thanks to well-thought-out planning, we know exactly which tasks are flexible and which have priority. I can only recommend this way of working—it ensures greater efficiency, transparency, and better self-organization in everyday work.

Personal chats enable quick coordination, while Teams channels are used for official information. This keeps our communication efficient, transparent, and consistent, even when interacting with external customers.
A central component of our working method is the respectful use of team status. No one is called unannounced. Instead, we ask in advance via message whether the person is available. This rule has helped us to avoid unnecessary interruptions.

A study by the University of California Irvine shows that it takes an average of 23 minutes to regain concentration after an interruption.

Well-structured communication is essential, whether in a remote team or in the office. That’s why I recommend that every team schedule fixed times for communication. At our company, we have found that internal Fridays, when we meet digitally with camera and audio, have proven successful.

• Staff jour fixe: Here we exchange personal and professional highlights, successes, and challenges. Each team member provides insight into their own week, which strengthens team cohesion and ensures greater transparency.

• Project jour fixe: We organize our projects and tasks throughout the week on a Microsoft Loop page, which is stored as a template in our Loop app. This page is recreated from the template every week and contains a Loop component as a table in which all team members can enter their topics throughout the week.

Recurring topics, known as long-runners, are not created again, but linked via an existing Loop component that is regularly updated. The advantage of Loop components is that they can be reused anywhere, whether in Teams chats or other Loop pages. This makes them ideal for topics that need to be tracked on an ongoing basis.
This structure ensures that even colleagues who have been on vacation or sick can always see which topics have been discussed. These meetings often result in specific tasks, which are then transferred directly to KanBo and followed up on.

I highly recommend this approach because it provides greater clarity, transparency, and structure and strengthens communication within the team—regardless of whether you work on-site or remotely.

This method has proven to be extremely effective for us, which is why we use various approaches to make our processes efficient:

• KanBo board and card templates: Standardized processes facilitate the processing and handover of tasks

• Document templates in SharePoint: Important documents are stored in a central location and are always up to date

The prerequisite for this is conscious and responsible use. We consistently take care not to enter any sensitive company data, personal information, or confidential content.

Instead, we use the tools specifically for the following tasks:

• General research on best practices, methods, and technologies

• Textual support in the creation and optimization of blog posts (such as this one) or workshop content

• Creative brainstorming for formulations and concepts

• Technical assistance in finding solutions to avoid tedious manual research, such as on JSON, M, HTML, and CSS codes.

By using this AI-supported assistance in a conscious and data protection-compliant manner, we save valuable time and can concentrate on more strategically important tasks. Without Copilot & ChatGPT, this blog post would probably not exist in this form – because not everyone is so linguistically or rhetorically skilled that they can produce fluent texts at the first attempt. Sometimes a sparring partner (or a Copilot 😉) for ideas and formulations is simply worth its weight in gold – in this case, our digital helper.

At the same time, we should see the EU AI Act as an opportunity, because ultimately it is about protecting us as citizens.

Artificial intelligence will be used more transparently in the future, and AI-generated content will be easier to recognize because it must be directly labeled, just as is the case in this blog post.
A possible note that complies with the requirements of the EU AI Act and identifies this text as AI-assisted could read as follows:

Sure, I grew up with LEGO, building castles and fantasy worlds, visiting LEGOLAND in Billund as a child, and somehow never really stopping. My key ring? A LEGO figure (first Gandalf, now Darth Vader). My office? Full of little LEGO setups. But it wasn’t clear to me for a long time that the colorful bricks would one day find their way into my work as a serious method for strategy development and teamwork.
Then came my first contact with LEGO in a design thinking workshop. There, it was used for prototyping. Exciting, but not yet what I pursue today with LEGO® SERIOUS PLAY®. Because that’s something completely different: a well-thought-out, scientifically based method for taking creativity and communication to a new level.

The biggest difference to “normal” LEGO building? There are no instructions. No ‘right’ or “wrong.” Instead, it’s about making thoughts visible, shaping ideas, and developing a common language. This happens through metaphors—I build something and explain what it means.
With just six standard bricks, there are over 900 million possible combinations. That’s exactly what makes LSP so powerful: it brings diversity to thought patterns, breaks down mental blocks, and enables a change of perspective. Why does it work?
1. Hand-eye coordination & cognition When building with your hands, new connections are created in the brain. This promotes deeper insights and helps to better understand complex relationships. Studies show that we understand better when we physically design things instead of just talking about them or writing them down.
2. Metaphorical thinking & storytelling Instead of explaining abstract concepts in words, participants build models that make their thoughts and ideas visible. This creates a common understanding, even if there were previously different perspectives.
3. Equal communication Everyone builds and presents their model, which also helps introverts to express themselves. All ideas are valued, not just the loudest voices in the room.
4. Reduction of mental blocks The playful approach promotes open, creative thinking. While traditional meetings are often linear and restrictive, LSP enables a freer, more intuitive, and exploratory approach to problems.
5. Systemic thinking In addition to individual models, group models are also created in the workshops, bringing together different perspectives. This helps to understand complex challenges and develop strategies.

Communication on an equal footing, greater openness, and a more in-depth examination of complex topics. It is particularly exciting that introverted people benefit from this method—they get to “have their say.”

Where LEGO® SERIOUS PLAY® brings the greatest added value
From small teams to corporate strategy workshops, LEGO® SERIOUS PLAY® is an amazingly flexible tool. It is particularly valuable:
• For teams that want to improve their collaboration
• For management teams developing visions and strategies
• For creative processes and innovation workshops
• For retrospectives in agile teams
The playful approach makes it easy to break down barriers and allow new ideas to emerge. And yes, it’s simply more fun than “traditional” meetings.

One of the biggest “aha” moments came during a workshop on team values. Everyone built their model, explained it, and suddenly it became clear: we thought we were talking about the same thing – but we meant completely different things.
That’s exactly the point: LEGO Serious Play reveals such misunderstandings and helps to resolve them. It’s about making thoughts tangible, discovering new paths, and creating shared images that everyone can truly understand.

Why companies should play more
Many companies think that work has to be deadly serious and take place at a desk – and that’s often the problem. Creativity, innovation, and genuine communication arise when we have a clear head.

My tips for companies that want to try LSP:
1. Maintain structure – LSP is not just throwing LEGO around wildly, but a clearly defined method.
2. Rely on experienced moderators – Facilitators make a huge difference.
3. Just do it! Don’t be afraid to use play as a method.

1. Loop components: Small, dynamic content (lists, tables, notes, etc.) that can be inserted and synchronized in Teams, Outlook, OneNote, or Word (Web).

2. Loop pages: Extensive workspaces – a kind of digital whiteboard – where you can collaborate on content.

3. Loop workspaces: Collections of Loop pages that can be structured by project, topic, or team.

We have been using Loop ourselves since last year to make our internal processes leaner and more interactive. On our team Fridays, we use Loop pages to collect and discuss everything that has been left undone during the week. In doing so, we have gained initial experience of how Loop works across components and where there are still issues in everyday use.

1. Internal team Fridays
Since November 2024, we have been creating one page per week for our weekly team Fridays in a dedicated Loop workspace, where we:

Collect and prioritize agenda items

Tag colleagues (the email notification feature still leaves something to be desired)

Can access ongoing topics across all pages without having to manually move unfinished topics from one week to the next

Expand notes live during the meeting – without having to jump back and forth between PowerPoint or OneNote

Have a finished transcript ready for anyone who is currently on vacation 😊🏝️

Advantage: Everyone can collaborate in real time, we get to the heart of the matter faster, and all relevant information stays in one place.

2. Loop as a project tool in customer projects
In some customer projects, we use Loop pages specifically to make the most important content available interactively for each meeting. It looks like this:

For each project meeting, whether training or workshop, we create a Loop page that contains the current agenda, links to presentation documents or concept boards, or the project planner.

During the meeting, all participants work together on the checklists, comment directly in Loop components, and can provide live feedback.

After the meeting, this Loop page remains in place, tasks (embedded from Planner) are checked off, and the current status is transparent for everyone.

Advantage: Fewer different media that project participants have to click through, less version chaos—everyone works on the same page. And everyone knows what to do next. In particular, the combination of “instructions” for a task, the task itself, and the context (project, workshop, work package) helps people who are not involved with the project on a daily basis to quickly get back on track.

3. Loop task lists with Lightweight Planner as a workaround for Shared Channels
Planner boards are still not available in Teams shared channels. We tested how Loop task lists with the integrated Lightweight Planners (i.e., task lists with assignments and due dates) can help:

In Loop, we create one task list per project, which we embed in the shared channel as a Loop component.

Everyone can access the task list directly in Teams, move tasks, change priorities, and view due dates.

The Loop Tasks Lightweight Planner synchronizes between the Loop app and Teams.

Advantage: We can work with shared channels without having to forego collaborative editing of Planner tasks.

You don’t need to be a power user or have developer skills to use Loop effectively. The following tips will help you achieve your first small successes in less than an hour:

1. Start with a Loop component in Outlook

Create a new calendar entry in Outlook.

Add a Loop component (e.g., a checklist or a short table).

Invite one or two colleagues to edit the component with you.
It’s very simple: everyone involved can participate directly in the calendar entry itself and contribute to the agenda or to-do list – without any tedious appointment updates.

2. Loop page as a brainstorming board in Teams chat

In Teams, click on the Loop icon in the desired chat or channel.

Select a template (e.g., brainstorming or mind map) or start a blank Loop page.

Invite your team to add keywords or discuss points live.
Within minutes, you’ll have an interactive collage of ideas without anyone having to send screenshots back and forth.

3. Loop task list as a mini planner

Create a Loop task list in the Loop app (or in Teams).

Assign yourself a few tasks, set due dates and priorities.

This allows you to immediately see how Loop components work in your personal workflow without a lot of overhead.

Conclusion: Loop is intuitive and deeply integrated into Microsoft 365. With a little trial and error, you’ll have concrete results in just half an hour that will support you in your everyday work.

Sure, not everything is perfect yet, and we’re hoping Microsoft will fix a few things soon:

Fragmented storage in different locations
Loop components are stored in different Microsoft 365 storage locations depending on where they come from (OneDrive, SharePoint, or the Loop app). This means that when searching for older pages or components, it is sometimes difficult to know where they are stored. A more centralized storage model would be extremely helpful so that we don’t have to search OneDrive, SharePoint, and Teams in parallel.

Microsoft Groups model still missing
Currently, Loop uses Microsoft 365 permissions, but seamless integration into the Microsoft Groups model does not yet exist. This means that when I share a Loop workspace in a Team channel, permissions are unfortunately cumbersome to set individually. We would like to see groups in Loop automatically recognized in the future, so that sharing workspaces for project teams is just as easy as in the rest of the app catalog. Microsoft currently has this on its roadmap for release in a few months.

Once these issues are improved, we believe Loop will become a true universal platform for collaborative work in Microsoft 365 and even compensate for some weaknesses in other apps (e.g., enabling workarounds such as our Lightweight Planner lists).

The AI Act came into force in June 2024, and the obligations apply in stages: Prohibited systems apply from the beginning of 2025, obligations for general-purpose AI (GPAI) from mid-2025, and regulations for high-risk systems and conformity assessments from 2026. It doesn’t matter whether you work in marketing, HR, customer service, or product development, because AI tools are now used almost everywhere. Or deepfakes that are so realistic that they are almost indistinguishable from real recordings.

High-risk AI includes systems that are used for important decisions, such as diagnosing serious illnesses, selecting applicants, or credit checks. Particularly strict requirements apply here, including risk management, traceability, security standards, and human control.
Whether a specific tool such as ChatGPT falls under limited risk depends on the specific use case. GPT-4 in a job applicant platform, for example, would be high risk. As a pure text tool for creative support, it is more likely to be “low” or “limited risk.”
And then there is minimal risk: tools such as Grammarly or DeepL, which correct or translate content but do not prepare decisions or generate new information.

The wording can be simple, for example: “This text was created with the support of an AI tool.” Or: “Image material generated with the help of artificial intelligence.”
There are no clear regulations (yet) for purely internal notes with no external impact – a “best practice” recommendation would be more precise here.
The key point is that the labeling must be directly visible and also readable by systems.

These sandboxes provide a controlled environment in which companies can test AI systems under supervision to ensure compliance with regulations. The sandboxes are particularly useful for companies that want to develop and test innovative AI solutions without having to meet all regulatory requirements immediately. They enable companies to test their systems in a real-world environment while receiving feedback from regulatory authorities.

The sandboxes offer several advantages:

– Promotion of innovation: Companies can test and further develop new AI technologies and applications in a secure environment.

– Regulatory support: Companies receive support and guidance from regulatory authorities to ensure that their AI systems comply with the requirements of the EU AI Act.

– Risk minimization: The controlled test environment allows potential risks and problems to be identified and resolved at an early stage before the systems are launched on the market.
