At 3kubik, there is an internal rule that we never formally agreed upon, but which has naturally become part of how we work over the years: We do not recommend ways of working or methods to our clients that we have not at least tested ourselves. It takes time, occasionally costs a few nerves, and sometimes reveals that a method sounds more convincing in theory than it proves to be in practice. But consulting that is not grounded in experience is simply well-researched theory – and that is not enough for us.

The Manual of Me was one of those experiments.

The idea did not emerge from a strategic initiative but from a simple observation: We noticed how quickly we misinterpret the behavior of our colleagues – even us, despite spending our professional lives helping others become more aware of exactly these dynamics.

A practical example: Imagine someone joins a call at five in the morning because they are working from a different time zone. They look tired, do not smile, and seem slightly irritated. It is easy to assume they are bringing a bad mood into the meeting or that they have an unspoken issue with someone in the group.

Most of the time, the reality is far more mundane: they simply hate 5:00 a.m. meetings (and who doesn’t?). Not the people. Not the topic. Just the time.

This is not a 3kubik-specific phenomenon. It is a well-documented concept in psychology known as the Fundamental Attribution Error. We tend to explain other people’s behavior through their personality rather than considering situational factors.

In practice, this means that teams often judge faster than they ask, and interpret faster than they clarify. Over time, this blind spot quietly erodes trust. Collaboration becomes more difficult, yet nobody can quite explain why.

The Manual of Me is an attempt to interrupt that pattern – without launching a major program and without bringing in external facilitators.

The profile is a mix of personal insights, practical preferences, and occasionally surprisingly deep reflections. Here are a few examples from our own Manual of Me:

What gives me energy – Three client meetings a day? For some, that is the highlight of the week. For others, it feels like a direct path to exhaustion. Both are perfectly fine – but it helps if we know that about each other.

What drains my energy – Too many calls, too much context switching, too many small tasks competing for attention. Everyone has different energy drains, and the longer they remain unspoken, the more costly they become.

Preferred communication styles – Calling me directly? Please don’t. Send a message first, then let’s talk? Much better. Or perhaps exactly the opposite. The more a team understands these preferences, the fewer unnecessary points of friction arise.

How I prefer to receive feedback – Some people appreciate direct and straightforward conversations. Others need a day to process before discussing something. Some dislike receiving spontaneous feedback squeezed in between meetings.

How to earn a gold star with me – Favorite tasks, genuine appreciation, humor at the right moment. And, equally important, what tends to have the opposite effect. Both are part of the profile.

If I were a meme, an animal, or a GIF – It sounds a little silly, and sometimes it is, but it often becomes a surprisingly effective conversation starter.

A fun fact about me – Because work can include those, too.

The profile also includes questions that go much deeper:

At what times of day am I most productive? What do I need to do my best work? What comes naturally to me, what do I struggle with, and what is the Achilles’ heel I would rather not talk about?

While filling it out, you quickly realize that many of these questions never come up in everyday work. Not because they are unimportant, but because there is rarely space for them.

We introduced the Manual of Me across the 3kubik team and then simply observed what happened.

The most noticeable outcome was that many of the quiet points of friction that had always existed began to fade away. Not because anyone fundamentally changed, but because we stopped automatically misinterpreting each other’s behavior.

When you know that a colleague is simply not at their best early in the morning, you stop taking their brief 7:30 a.m. response personally.

Another thing we noticed was that leadership became more tangible.

When you understand what drains someone’s energy and what motivates them, you can plan tasks, projects, and meetings differently—instead of simply hoping they will somehow have enough energy to get through them. It sounds like common sense, but common sense only works when you actually have the information.

And then there was something that surprised us more than anything else:

In many cases, completing the Manual of Me turned out to be more valuable than the finished document itself.

The questions force a level of reflection that rarely happens in day-to-day work. When was the last time you seriously considered what actually drains your energy at work? Or what conditions enable you to perform at your best?

That is not a wellness exercise.

That is organizational development.

In most cases, the simplest first step is not a large-scale culture initiative. It is the willingness to ask each other a few questions that rarely get asked:

How do you actually work best?

What do you need in order to do great work?

Since joining the company, I have experienced a variety of working time models. Never before have I felt as productive as I do today.

Here’s an example: After a short night, nobody benefits from me sitting in front of my laptop at 8 a.m. with a tired mind simply to keep my status indicator green. It makes far more sense to get an extra hour of sleep and then start the day focused and energized.

Parents on our team benefit enormously as well. Instead of stressing about a time clock when children are sick, they can balance work and caregiving responsibilities more flexibly. Even working across time zones—such as during my trip to the United States—works smoothly as long as tasks and deadlines are clear.

Our most important rule is:

Transparency.

We keep our calendars up to date, coordinate through Teams messages or short calls, and respect each other’s individual working rhythms. This allows us to maintain the balance between freedom and accountability.

Tool chaos slows productivity—not a lack of tools

Too many systems, too little clarity: in many companies, information is scattered across emails, chats, project boards, and drives. The result? Searching instead of working, coordinating instead of deciding, stress instead of focus.

The problem is not the tools themselves – it's the lack of rules. If it is not clearly defined which tool is used for what, friction arises: time is lost, knowledge seeps away, and collaboration becomes unnecessarily complex.

Studies and recent analyses show that the flood of digital tools is slowing us down—often significantly.

📌 Switching costs and fragmentation:
According to an analysis by the Work Innovation Lab, employees lose an average of 57 minutes per day just switching between tools. In addition, they spend about 30 minutes deciding which tool to use. That adds up to over 1.5 hours per day that are not used productively – simply because systems are not clearly defined or are left to too many people. Asana

📌 Digital stress among employees:
Studies show that over 60% of employees feel exhausted by the multitude of digital tools – a phenomenon often referred to as digital tool fatigue. Forbes

📌 Tool overload is real:
More than 50% of organizations say they use too many tools, and teams with more than six tools are significantly more likely to report that their work has become complex and inefficient. Buddy Punch

The result: we waste time searching and switching between tools instead of investing it in real work. Information is scattered, our focus is fragmented – and productivity visibly suffers as a result.

Practical tip: Display your values visibly in the virtual office. Slack channel, Teams pin, or Notion dashboard. That way, everyone will stumble across your culture without you having to mention it specifically.

Extra: Create little challenges around your values. For example, whoever collects the most examples of the values in action during the week gets a little surprise. This way, culture is actively experienced and not just read about.

Practical example: GitLab relies on hybrid meetings to mix digital connection with real encounters. The result: the team knows each other better, even though they work 100% remotely.

Working from home isn’t dead, but a rigid “everyone comes to the office on Mondays” approach is no longer the norm. Hybrid working is becoming the standard, offering real flexibility and a human touch.
👉 Forbes – 8 workplace trends 2025, IMD – Future of Work

2. Upskilling is the new career supplement

Agentic AI (yes, you read that right) will become a project assistant, idea generator, or memory aid in 2025 – and not just as a gimmick.

For us, New Work isn’t just a buzzword, it’s part of our everyday life. We work where it suits us best – sometimes from home, sometimes in the office, sometimes in our favorite café. The main thing is that the environment inspires us and clears our minds. Continuing education is just as important to us: Whether it’s tech webinars, coaching, or spontaneous peer learning sessions, we see learning as an integral part of our job, not a tedious additional task.

Digital assistants and smart tools are not just nice-to-haves for us, but real teammates. They help us keep the organization lean, capture ideas, and create space for what matters most: good collaboration and creative solutions.

And because we firmly believe that work without empathy doesn’t work, we often start meetings with a playful check-in. This is more than just a warm-up – it reminds us that we are human beings, not cogs in a project plan. This ensures that appreciation and team spirit always take priority.

For us, flexibility is not just a buzzword, but the basis of our work: we think in terms of projects and skills, not rigid job titles or fixed hours. Those who contribute their strengths are given room to help shape the company—and that is precisely where the magic of New Work at 3kubik lies.

Sure, I grew up with LEGO, building castles and fantasy worlds, visiting LEGOLAND in Billund as a child, and somehow never really stopping. My key ring? A LEGO figure (first Gandalf, now Darth Vader). My office? Full of little LEGO setups. But it wasn’t clear to me for a long time that the colorful bricks would one day find their way into my work as a serious method for strategy development and teamwork.
Then came my first contact with LEGO in a design thinking workshop. There, it was used for prototyping. Exciting, but not yet what I pursue today with LEGO® SERIOUS PLAY®. Because that’s something completely different: a well-thought-out, scientifically based method for taking creativity and communication to a new level.

The biggest difference to “normal” LEGO building? There are no instructions. No ‘right’ or “wrong.” Instead, it’s about making thoughts visible, shaping ideas, and developing a common language. This happens through metaphors—I build something and explain what it means.
With just six standard bricks, there are over 900 million possible combinations. That’s exactly what makes LSP so powerful: it brings diversity to thought patterns, breaks down mental blocks, and enables a change of perspective. Why does it work?
1. Hand-eye coordination & cognition When building with your hands, new connections are created in the brain. This promotes deeper insights and helps to better understand complex relationships. Studies show that we understand better when we physically design things instead of just talking about them or writing them down.
2. Metaphorical thinking & storytelling Instead of explaining abstract concepts in words, participants build models that make their thoughts and ideas visible. This creates a common understanding, even if there were previously different perspectives.
3. Equal communication Everyone builds and presents their model, which also helps introverts to express themselves. All ideas are valued, not just the loudest voices in the room.
4. Reduction of mental blocks The playful approach promotes open, creative thinking. While traditional meetings are often linear and restrictive, LSP enables a freer, more intuitive, and exploratory approach to problems.
5. Systemic thinking In addition to individual models, group models are also created in the workshops, bringing together different perspectives. This helps to understand complex challenges and develop strategies.

Communication on an equal footing, greater openness, and a more in-depth examination of complex topics. It is particularly exciting that introverted people benefit from this method—they get to “have their say.”

Where LEGO® SERIOUS PLAY® brings the greatest added value
From small teams to corporate strategy workshops, LEGO® SERIOUS PLAY® is an amazingly flexible tool. It is particularly valuable:
• For teams that want to improve their collaboration
• For management teams developing visions and strategies
• For creative processes and innovation workshops
• For retrospectives in agile teams
The playful approach makes it easy to break down barriers and allow new ideas to emerge. And yes, it’s simply more fun than “traditional” meetings.

One of the biggest “aha” moments came during a workshop on team values. Everyone built their model, explained it, and suddenly it became clear: we thought we were talking about the same thing – but we meant completely different things.
That’s exactly the point: LEGO Serious Play reveals such misunderstandings and helps to resolve them. It’s about making thoughts tangible, discovering new paths, and creating shared images that everyone can truly understand.

Why companies should play more
Many companies think that work has to be deadly serious and take place at a desk – and that’s often the problem. Creativity, innovation, and genuine communication arise when we have a clear head.

My tips for companies that want to try LSP:
1. Maintain structure – LSP is not just throwing LEGO around wildly, but a clearly defined method.
2. Rely on experienced moderators – Facilitators make a huge difference.
3. Just do it! Don’t be afraid to use play as a method.

The central theme this year was “Knowledge meets AI”. The topic was addressed in almost every presentation – sometimes so much so that it seemed almost overwhelming. Although we appreciate the potential of AI, the question arose for us: do AI tools really make us better knowledge managers or should we not focus on finally making full use of human intelligence?
A little anecdote lightened the mood: the moderator made a tongue-in-cheek appeal not to mob AI – or affectionately known as “Kai”. This shows our ambivalent relationship with artificial intelligence: we humanize it instead of focusing on the exchange with actual human intelligence around us and using AI as a tool that can be meaningfully integrated into everyday working life if we train and use it correctly. Despite impressive technical possibilities: Humans and their ability to share knowledge and enrich it through interaction, experience and learning cannot be replaced.

Our impression: Knowledge managers – the experts for sharing knowledge – also have reservations. The challenge often lay in the fact that many considered their own insights to be too banal or were unsure whether they were really relevant. One participant even told us that he had only just learned about terms such as “culture of sharing” or “knowledge staircase” at the conference – and thought that such “basics” were not worth sharing.
We recognize a familiar pattern here: what some people take for granted can open up a completely new perspective for others. This shows how important it is to create spaces and structures that reduce these uncertainties.

The Knowledge Management Days not only offered us the opportunity to learn new things, but also to reflect on our own approaches. In particular, we were confirmed in our assumption that “culture follows structure”. If you want to delve deeper into this, you should take a look at Larman’s Laws. There is more on this here.
If we want people to start sharing their knowledge, we need to create structures that encourage this. Our interactive walls were a small step in this direction. We provided the necessary resources (post-its, pens), explained the purpose of the format and made the walls visible. However, just like in day-to-day business, it takes time and practice to make sharing knowledge a routine.

We reflect on the last few months of work to make the last months of business for 2023 more goal and profit oriented.

We discuss necessary changes and welcome new faces to the company.

We engage in business analysis of customers and competitors.

We consciously embrace new marketing opportunities.

We deal with new possible heart topics.

These important hours of coming together are marked by food and drink, humor and sarcasm, music and movement, sweating and complaining, getting to know each other and curiously questioning, rolling eyes and smiling – always more a feeling about us as a team.

The company comes first, but we the people who animate and inspire 3kubik must always face new challenges in order to consciously perceive every little nuance of the other.
